Business VoIP & Phone Systems in Whangārei

No desk phones, just headsets — one set monthly cost on the same invoice as your IT. That's what a modern phone system feels like.

One of our clients – a specialist medical practice here in Northland – runs their whole phone system through Microsoft Teams. When they add a staff member, it’s a headset & a licence – they know exactly what it will cost before they’ve even hired.

Your phones & your IT — under one roof

Most phone companies sell you phones. Then when call quality drops, they blame your network – and your IT company blames the phones. You’re stuck in the middle.

Here’s the thing: VoIP (Voice over Internet Protocol – your calls travelling over your internet connection instead of old copper lines) lives or dies on your network. We already run your network. So when we set up your phones, call quality is our problem to own end to end – and you get one invoice & one number to call for all of it.

Why Northland businesses are switching

The copper switch-off

The old landlines are going, region by region. Every business on copper needs a plan – and the ones that move early get to do it calmly, not in a scramble.

Costs you can predict

No line rentals stacking up. A set cost per person, month in month out. Adding staff member number eleven costs the same as number ten did – nice and simple for budgeting.

Work from anywhere

Your team can answer the office number from the office, from home, or from a ute in Kaitaia. The caller can’t tell the difference.

Two ways we do it

Not sure which? That’s what the free comparison below is for – we’ll tell you straight which one fits.

Microsoft Teams Calling

If your team already lives in Teams, your phone system can live there too. Calls, meetings & chat in the one app you already pay for – desk phone optional. This is what our specialist practice client runs, and it’s the tidiest setup we know: one app, one invoice, one support team.

3CX phone systems

A full-featured cloud-hosted phone system (hosted PBX – it lives securely in the cloud, not in a box on your wall) with call queues, auto attendant (the “press 1 for accounts” menu), reception consoles & call recording. The right fit when phones are the front door of your business.

What you get either way

Keep your number

Porting is handled between us and your old provider – your customers never notice. No new signage, no new business cards.

Voicemail to email

Messages land in your inbox – listen on any device, forward them to whoever needs to deal with it.

Auto attendant & routing

Calls go where they should, even after hours – “press 1 for accounts” without the enterprise price tag.

Softphone apps

Mobile & laptop apps put the office line in your pocket or on your screen – work from anywhere.

Call recording & reporting

A record of what was agreed, plus call volumes, missed calls & answer times – the front desk is never a black box.

Failover sorted

Internet goes down, calls divert to mobiles automatically. Power cut in a storm? Your callers still get through.

Plus CRM integration – see who’s calling before you pick up, with the call logged against the customer record automatically.

Switching is easier than you think

Three steps, and we project-manage all of them. Most small business switches are done inside four to eight weeks – the bulk of that is just the number porting timeframe the telcos set.

1. We look at your bill

How many lines, how many calls, what features you actually use. Ten minutes of your time.

2. We check your network

Choppy calls are nearly always a network configuration problem, not a VoIP problem – we test & fix before anything switches, because it’s our network to fix.

3. We port & cut over

Usually a few hours, planned for a quiet time. We deal with your old provider so you don’t have to. No downtime dramas.

What it costs

Every business is different – lines, call volumes, features – so we quote rather than publish a one-size-fits-nobody price. What we will promise: a set monthly cost per person, agreed up front, on the same invoice as your IT support. Adding or removing a staff member changes the number in a way you can see coming.

Frequently asked questions

What is VoIP?

Voice over Internet Protocol – your phone calls travel over your internet connection instead of a dedicated copper line. Most modern services are delivered over SIP (Session Initiation Protocol – the industry standard for carrying VoIP calls). It’s how nearly all new business phone systems work now that copper is being retired.

Can I keep my existing phone number?

Yes – the process is called number porting and it usually takes two to four weeks. Your customers never notice – no new signage, no new business cards.

What happens when the copper network is switched off?

Old-style landlines stop working. If your business still relies on copper lines, you need a replacement plan – and doing it on your own timeline beats doing it on the telco’s.

What happens if the internet or power goes out?

Calls automatically divert to nominated mobiles, and the mobile apps keep working on cellular data. We set the failover up as part of every install – it’s not an optional extra.

Is the call quality as good as a landline?

Yes – on a properly set-up network. Nearly every “VoIP sounds terrible” story traces back to a network that was never configured for voice. We check & fix yours before cutover, because we run it anyway.

Do I need fibre?

Fibre is ideal and most business locations have it now. A voice call only needs about 100 kilobits per second – the configuration matters far more than raw speed.

Does it work with Microsoft Teams?

Yes – Teams Calling turns the Teams you already use into your full phone system. For a lot of our clients it’s the simplest option on the table – our medical practice clients especially rate it.

How long does switching take?

Four to eight weeks for a typical small business, mostly waiting on number porting. The cutover itself is a few hours, planned for a quiet time.
